Position Description: Programme Adminstrator (Freelance)
Cymera: Scotland’s Festival of Science Fiction, Fantasy and Horror Writing is looking for an enthusiastic person to join the festival team as a freelance Programme Administrator
The Programme Administrator will be responsible for supporting the Festival Director in the delivery of the Festival Programme for Cymera 2022, and the creation and execution of individual events until the end of 2022.

Position: Programme Administrator
Reporting to: Festival Directo
Duration of Contract: 1st May 2022 to 31st January 2023. Festival dates for 2022 are 3rd to 5th June 2022.
Location: As this is a freelance engagement, the Programme Administrator can carry out the contract from wherever is most appropriate for them. The festival does not have an office, and the majority of the team, including the Festival Director, are based in Edinburgh. The Programme Administrator will be required to be in attendance over the course of the 2022 festival and potentially some days around it. The festival takes place at The Pleasance, Edinburgh. Planning meetings and partner meetings will usually take place virtually, with the occasional in-person meeting where required.
Required skills and experience
Essential skills:
Proven administration skills
Event management or Arts Administration experience
Highly proficient computer skills (Word, Excel, Outlook)
Excellent communication skills, both verbal and written
Self-motivated with the ability to work independently as well as part of a team
Desirable skills:
An interest in genre writing, especially Science Fiction, Fantasy and Horror
Experience with literary events, especially book festivals
Experience in using social media and digital community tools such as Discord
Experience creating website content such as programme blurbs
Experience with accessibility requirements
Outline of Key Tasks
For the 2022 festival:
1. Support the Festival Director and the rest of the trustees in the delivery of the 2022 festival weekend
2. Take the lead on the delivery of the 2022 Brave New Words and Open Mic programme strand
3. Liaise with authors, publishers, agents and chairs in the run-up to the festival
4. Assist with the preparation of information packs for all participating authors and chairs.
5. Contribute to social media activity ahead of the festival and during it as well as assisting with the digital community where possible e.g. Discord
6. Create content for festival website, e.g. programme blurbs
Post-festival:
1. Assist the festival team with the creation and execution of the year-round programme
2. Evaluate post-event programme feedback in preparation of 2023 festival
3. Research 2023 programme information and collect and collate information from speakers as required
4. Contribute ideas for programming themes, panel topics, formats and suggest suitable authors and chairs
5. Attend programme meetings, take minutes and note action points, and distribute to the appropriate staff.
Fee
£3000 for May & June 2022 based on 18 days work plus reasonable expenses
From July 2022 £160/month based on 10 hours work per month
The £3000 will be paid in two instalments upon receipt of an invoice:
• The first instalment of £1500 at the end of May 2022.
• The second instalment of £1500 at the end of June 2022
